Privacy Policy
Last updated November 1, 2026
In short: we collect what we need to run payments for businesses and their customers, and to keep them safe.
Card numbers, bank account numbers and tax IDs are entered in our processing partner's secure forms, and iCard does not store them.
We don't sell personal information, and we don't use advertising trackers.
1. Who we are
ICARD LLC ("iCard", "we", "us") provides online payment services to businesses. This policy explains how we handle personal information about:
- people who visit our website;
- people who apply for or use an iCard account for their business ("merchants");
- people who pay a merchant through iCard ("payers").
2. Information we collect
- Account and application details: name, email, phone, password (stored in hashed form), business name, business type, website, what the business sells and expected volume.
- Verification details: to verify a business and its owners, our processing partner, Finix Payments, Inc. ("Finix"), collects information on its secure form. That includes tax IDs, Social Security numbers, dates of birth, addresses and bank account details. iCard receives the result of the review and limited details, such as the last four digits of a bank account. We do not receive or store full tax IDs, Social Security numbers or bank account numbers.
- Payment details: for each payment, the amount, date, description, the payer's name and email if given, the card brand or bank and the last four digits, and the status. Full card and bank numbers are entered in Finix's secure fields and go directly to Finix.
- Use of the Services: sign-in times, actions taken in the portal (kept as an audit log), and basic technical data like IP address, browser and device. These help us secure accounts and fix problems.
- Messages: what you send us by email or through the portal.
3. How we use it
- To provide the Services: open accounts, process payments, refunds and payouts, send receipts and notices, and give support.
- To verify businesses and prevent fraud, money laundering and other harm, as the law, banks and card networks require.
- To keep the Services secure and working, and to improve them.
- To meet legal, tax and regulatory duties, and to enforce our Terms.
- To send service updates. We send marketing only to merchants, and you can opt out at any time.
4. How we share it
We share personal information only as needed to run the Services:
- Payment partners: Finix, its sponsor banks, the card networks and the ACH network, to process payments and meet their rules.
- The merchant you pay: if you pay a business through iCard, that business sees the payment details listed above.
- Service providers who host or run parts of iCard for us under confidentiality obligations, such as cloud hosting, databases and email delivery.
- Legal and safety: when required by law or legal process, or to protect people, merchants, or iCard from fraud or harm.
- Business transfers: if iCard is involved in a merger, sale or financing, in which case this policy continues to apply.
We do not sell personal information or share it for cross-context behavioral advertising.
5. Cookies and similar tools
Our website does not use advertising or analytics cookies. Pages load fonts from Google Fonts, which receives your IP address to deliver them. When you sign in, your browser stores a session token so you stay signed in. Signing out removes it.
6. How long we keep it
We keep account and payment records while an account is open. After it closes, we keep them for as long as the law, banks and card networks require, generally at least five years for payment and verification records. Then we delete or anonymize them.
7. Security
We use encryption in transit, access controls, role-based permissions and audit logs. We keep sensitive payment and identity data with our PCI DSS-compliant processing partner rather than on iCard's systems. No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
8. Your choices and rights
You can see and update your account details in the portal. You can also ask us to access, correct or delete your personal information, or to explain how we use it, by emailing hello@icardpayment.com. We will verify your request and respond within the time the law requires.
Some information must be kept for legal or fraud-prevention reasons even after a deletion request. Residents of states with privacy laws, such as California, have these rights under those laws. We will not treat you differently for using them.
If you paid a merchant through iCard, you can also contact that merchant directly.
9. Children
The Services are for businesses and adults. We do not knowingly collect personal information from children under 13.
10. Changes
We may update this policy. We will post the new version here with a new date. If the changes are material, we will tell merchants by email or in the portal.
